Since the structure of the database is a simple standardised format, almost any database or CRM system should be able access and utilise it. Additional formats can be supplied if necessary but it is usually the case that either Access or Excel meet the requirements of the vast majority of clients – whether their operating system is Windows, Mac OS X, Linux, or UNIX.

Functions of the Database Application

The Database Application is supplied free of charge to subscribers to Government Online Database Service and to Government Online Information Services.

  • Display single database or entire database

  • Quickly produce mailing labels for database (2 clicks in total)

  • Email from within the application
  • Interrogate database and combine multiple searches
  • Numerous other viewing, sorting, filtering and searching facilities

The Database Application is designed to run on Windows.

Online and Offline Access

The Government Online Database is provided on CD or DVD. Copies in Access and Excel, with the Database Application, are supplied on each disk. The information can be transferred directly to the user's computer or workstation and manipulated locally from that point on. Online access is provided by the Government Online Secure Site, which offers a means of viewing and searching the Government Online Database by organisation, region, alphabetic listing, tailored database, or by extended criteria.

Licensing

The client purchases the Government Online Database (though the copyright remains with ourselves) and receives updates for a 12 months' time period. At the end of that 12 months the client has the option of resubscribing, at which point they will continue to have access to database updates, or they can choose otherwise, at which point they will cease to receive updated information. Since a considerable amount of data changes each year it is extremely advantageous to government suppliers to continue to resubscribe. The subscription is licensed to the subscribing company, and therefore can be utilised by multiple individuals within that company; however it cannot be utilised outside of it, nor can it be resold. The definition of 'company' can include 'group' on certain occasions.
